

AGM Overview

The Annual General Meeting for Beverley Athletic Club happens once a year, normally in October. You are invited to attend. It is your opportunity to have your say about how your club is run and what we get involved in. All our committee members are volunteers who give up their time for the benefit of your club. We are an inclusive club and welcome involvement from all our members. Minutes for all meetings are available here.

Our 2025 AGM will take place on the evening of Wednesday October the 15th at Beverley Cricket Club.

Your club also has two Welfare Officers. Lynne Beer and Rich Uttley are our Beverley AC Welfare Officers. They are there to assist any member with any welfare or safeguarding concerns you might have. This might be issues/concerns you have in your personal life, about a friend or colleague – it’s not limited to Running Club issues! They are fully trained, DBS cleared and able to help you.

Risk assessments and online health and safety incident reporting

Definitions for the purpose of reporting:

Accident: An event that results in injury or ill health;
Incident: an event not causing harm, but has the potential to cause injury or ill health;
Fatality – An event that results in death.

As part of UK Athletics’ ongoing commitment to provide a safe sport, anyone who has witnessed or been involved in either an accident or incident, is asked to complete a short online report.

This is done using UKAs online reporting forms. The information that you provide will help to prevent future occurrences of similar incidents and also provide an overview of the type and frequency of accidents when they do occur.

Compiling our accident/incident information in this way is useful for many reasons and most significantly helps us to identify any specific issues or trends with regards to accidents or injuries.

Note: If an accident has resulted in serious injury, or a hazard is so serious that it could result in an accident in the immediate future, it is important that these facts are reported immediately to the relevant Facility Operator, Race Director or Local Authority Health & Safety Manager.

Travel and expenses policy

The club will fund entries to National and Northern Athletics organised events where both Juniors and Seniors can enter. The club fund these due to the broad nature of the entries which can include the whole club, and the chance for athletes to represent their club on the National stage or outside your local area.

Beverley AC will support travel to combined Junior and Senior events (for example, but not exclusively limited to, National and Northern Road and Cross-Country events). Beverley AC will fund travel to 2 events per year. Any coach/mini-bus booked must be majority full to make the hire costs viable. The support Beverley AC provides will be confirmed after a cost benefit exercise considering criteria such as distance to event and number of athletes. Any child on the coach would normally be supervised by 1 parent/carer or another adult that the child’s parent/carer has arranged to supervise their child. If further seats become available other people can request a seat. Where the club has provided travel (for example a minibus) car fuel costs cannot also be claimed. Claims for travel can only be made if the claimant car shares with 1 or more member. For travel to team events or races the treasurer will reimburse the driver/car owners basic fuel costs at the treasurer’s discretion. Mileage may be verified using an online route planner. Travel costs are out laid by the member and then claimed back, by submitting receipts or other proof of purchase, along with a club expenses claim form to the treasurer.

EA registered courses will be paid at the reduced EA member rate. Prior approval of course attendance must be sought. Hotel costs for attendance at coaching courses are capped at £50. Prior approval of hotel stays must be sought. The distance from home must exceed 80 miles or the timescales of the course make same day travel unrealistic. For travel to any course or event that provides long term benefit to the club as a whole (for example, but not exclusively limited to, LiRF, CiRF, Coach and Coaching Assistant UKA affiliated courses) members can claim actual petrol costs. Mileage may be verified using an online route planner. Costs are out laid by the member and then claimed back, by submitting receipts or other proof of purchase, along with a club expenses claim form to the treasurer.

Planning application objection

The committee unanimously agreed to support Beverley Athletic Club lodging a formal objection to the above planning application regarding Long Lane. The crux of the application is this:

“Erection of glasshouses, automated bedding units and wind breaks to outdoor planting beds, external and internal alterations to redundant agricultural buildings to allow conversion to offices and stores, relocation of workers caravans, construction of reservoir with installation of drainage infrastructure across the site and creation of access to low farm, 5 passing places along Long Lane and junction improvements onto the A1174 (Hull Road).”

Committee meeting minutes

In an effort to be transparent and inclusive the committee have decided to publish the agreed minutes from each committee meeting. These meetings occur the first Wednesday of the month and the minutes will be made available as soon as realistic after that. On occasion there may be a requirement to redact some information, but on the whole the content is suitable for member consumption.

Privacy Notice

As the new laws come into effect, there are some important points for all members and race entrants to note. As you join Beverley Athletic Club you also consent to us using your data for the successful administration of the club, this means that Beverley AC does not need to specifically get your permission to keep in touch with the weekly newsletters. These newsletter are of legitimate interest and can be authorised through contractual agreement or necessity, rather than specific consent, in order to ensure the continued success of our club and the administration of club activities.

As an entrant to a race it is important to understand that, you agree that we may publish your Personal Information as part of the results of the Event and may pass such information to the governing body or any affiliated organisation for the purpose of insurance, licences or for publishing results either for the event alone or combined with or compared to other events. Results may include (but not be limited to) name, any club affiliation, race times, occupation and age category.

Your club, your committee

As the new membership year gets under way, it is a timely opportunity to remind all members about the administration of your club. Beverley Athletic Club is an accessible and inclusive club, welcoming runners young, old, novice or experienced. Your committee works for the interest of the club members, our community and running itself. The committee have the same fundamental goals you have……….to enjoy running! All the committee members give up their time for nothing and work extremely hard in order to facilitate races, membership, communications, local events, get togethers, social occasions, branded kit, training and coaching…….…the list is surprisingly long! We do this so you can improve and enjoy your running, feel a benefit to being a member of your club and hopefully make you proud to be part of Beverley Athletic Club wearing the coveted Blue and Gold! To that end your club vest will allow you to flash your allegiance with pride. Don’t forget that in races we ask you to wear your club vest, with the exception of any charity vests. The committee meet after club run on the last Wednesday of every month at Beverley town cricket and recreation club, Norwood. Within the ethos of our constitution at Section 8.4 (yyyyaaaaaaaawwwwwnnnn!) we are open and transparent and we always welcome feedback and constructive comments from ALL our members. We are here to serve YOU! Please feel free to approach any one of us to have a chat or pass on ideas. Last time I looked none of us breathed fire or had multiple heads!
